This Privacy Policy explains how VAUGHN RACEWORKS LLC (“Vaughn Raceworks”, “we”, “us”) collects, uses and protects personal information when you visit this website (the “Site”).

2. Information we collect
Information you give us
The Site has no account system, forms or comment features. If you email us, we receive your email address, name (if shown) and whatever you choose to include in your message.
Tune Vault. The Tune Vault page lets clients download files we have shared with them by entering a private folder code. The code you enter is used only to open the matching folder; we do not store it in your browser. We keep the files we have placed in each folder for the client concerned.
Vault messages. Each Tune Vault folder has a private message thread between the folder’s user and us. We store the text of messages, the time they were sent and whether they have been read. A thread can be seen only by us and by someone who enters that folder’s code; it is not visible to users of other folders. Messages are kept until we or you ask for them to be deleted, or the folder is removed.
MMI Video Converter. If you use the converter, you upload a video file, which we store temporarily on our server only so that it can be converted. We do not look at, copy, analyse or share your video, and we do not use it for any other purpose. The file is held in a private folder under a random reference that only your browser knows; the tool does not ask for your name or email address, and nothing is stored in your browser. Your original upload is deleted as soon as conversion ends. The converted file is deleted as soon as you download it, when you choose “Delete now”, or automatically about an hour after it was created, and in every case within 24 hours. We do not back these files up. While a large upload is in progress, our web server may hold it in a temporary location, which is cleared when the upload finishes.
Desktop edition. If you download and use the desktop edition of the converter, your videos are processed on your own computer and are not sent to us, and the program sends us no information. If you let it download FFmpeg for you, that file is fetched directly from a third-party website (gyan.dev), which will see your IP address under its own privacy practices. Downloading the program from this Site is recorded in our server logs like any other file.
Information collected automatically
- Server logs. Our hosting server records your IP address, date and time, requested page, browser/device type and referring page. This is standard for any web server and is used for security, troubleshooting and performance.
- Vault access attempts. To stop code guessing, the Tune Vault keeps your IP address and the time of incorrect code attempts in the server’s memory for 15 minutes. This is not written to disk and is cleared when the application restarts. Server logs also record Tune Vault requests, including file downloads.
- Converter usage limits. To prevent abuse, the converter keeps your IP address and the times you started conversions in the server’s memory for up to one hour. This is not written to disk and is cleared when the application restarts. Server logs also record converter requests, but not the names or contents of your files.
- Notice record. We store a small flag in your browser’s local storage so we do not show the privacy notice on every visit. See our Cookie Policy.
We do not use analytics, advertising or tracking cookies on the Site. Our fonts are hosted on the Site itself, so your browser does not contact Google or any other third party to display it.

4. Sharing
We do not sell your personal information or share it for cross-context behavioral advertising. We share data only with:
- our hosting and infrastructure providers (VAUGHN RACEWORKS LLC), who process it on our behalf;
- professional advisers, authorities or courts where required by law or to protect our rights.
5. International transfers
Our providers may process data outside your country, including in the United States. Where required, we rely on appropriate safeguards such as adequacy decisions or standard contractual clauses.
6. Retention
Server logs are kept for up to 30 days unless needed longer for security. Videos uploaded to the converter, and the files converted from them, are kept only as described in section 2 and never longer than 24 hours. Emails are kept as long as needed to deal with your enquiry and for our legitimate business records, then deleted. The notice flag stays in your browser until you clear it.
7. Your rights
Depending on where you live, you may have the right to access, correct, delete or export your personal information; to object to or restrict processing; and, where we rely on your consent, to withdraw it at any time. Withdrawing consent does not affect earlier lawful processing.
To exercise a right, email support@vaughnraceworks.com. We will respond within the time required by law (generally one month). You also have the right to complain to your data protection authority, such as the UK ICO or your local EU supervisory authority.
California and other US state residents
You may have rights to know, delete and correct personal information and to opt out of its sale or sharing. We do not sell or share personal information as those terms are defined under US state privacy laws, and we do not knowingly process sensitive personal information. We will not discriminate against you for exercising your rights. Contact us at the address above to make a request.
8. Children
The Site is not directed at children under 16 and we do not knowingly collect their personal information. If you believe a child has contacted us, please let us know and we will delete the data.
9. Security
We use reasonable technical and organisational measures to protect information, but no online service is completely secure.
10. Changes
We may update this policy. The “Last updated” date above shows the latest version, and we will give additional notice of material changes where required.
